New to Credit Card Charge Processing?
Here's some information that will save you time and money.
You need these two things to accept credit card payments:
1. Equipment – you need to purchase a manual credit card imprinter or an electronic credit card swipe machine.
2. Payment Processor – After you use the equipment to record the credit card information, you need someone to process the credit card charge. This is typically called a Merchant Account.

Imprinters
In order to process a credit
card charge, you'll need to capture the credit card info. You do
this with the help of a
manual
credit card imprinter (also known as a "Knuckle Buster") and
carbonless
credit card
sales slips (Also known as "bank sales drafts").
The most common type of
imprinters are the hand operated portable imprinters (Like the
Data
Systems 515 Credit Card Imprinter or the Addressograph 4850
flatbed desktop imprinter). These imprinters are portable and stay
in place with suction cups when placed on a hard flat surface.
Compact credit card imprinters are also available. Units like the Data Systems 505 Credit Card Imprinter, the Ergoprint 1001 Credit Card Imprinter and the Addressograph 990 offer a smaller, more portable imprinter that is great for people on the go.
One note about the compact imprinters though… We’ve tried every brand of compact imprinter on the market and have found all of them lacking in one way or another compared to the full sized portable imprinters like the Data Systems 515 Credit Card Imprinter. It’s harder to load the slips into a compact imprinter plus they require a firm grip and strong swipe to get a good imprint. In general, we only recommend buying a compact unit if you intend to use it very little (less than 10 charges a month). For long life and ease of use, we recommend the full size portable imprinter like the Data Systems 515 Credit Card Imprinter.
Along with a credit card imprinter, you'll need a credit card imprinter merchant plate. This plate contains your business info that is imprinted onto the credit card charge slip along with the actual credit card number, name and card expiration date. Typically your business name and phone number are what should be on your merchant plate. The merchant plate should be made out of metal for long life and durability.
A typical credit card imprinter merchant plate looks like this, but you can have anything you’d like; even just one line.

It's best to keep it simple to improve readability. Business name and phone are the most important for avoiding charge backs. Credit card sales slips are discarded once the customer receives their statement and it's unlikely anyone else will see them. So trying to advertise on the plate only clutters it up and can result in unreadable customer copies.
3. Credit Card Imprinter Sales Slips
Now that you have a manual credit card imprinter and credit card imprinter merchant plate, you’ll need some carbonless credit card sales slips and maybe a few Red Credit Card Return Slips for those occasions where something is returned and you need to issue a credit card refund; although it’s usually easier to just give a cash refund than go through the effort of processing a charge refund.
As far as slip style, you have four choices:
1. Two Part Long Credit Card Imprinter Sales Slips
2. Two Part Short Credit Card Imprinter Sales Slips
3. Three Part Long Credit Card Imprinter Sales Slips
4. Three Part Short Credit Card Imprinter Sales Slips
Generally, the two part slips are what you need. One copy is for the customer and the other copy is for your records in case of a chargeback. Should the customer file a charge back, your payment processor (merchant account issuer) will ask you to prove the owner of the card made the purchase and signed for it. That’s the whole reason you need an imprinter and slips; to record what was purchased, prove the card was present and that the owner of the card signed for the purchase, so be sure to compare signatures…
Payment Processor
There are many companies that
sell credit card processing merchant accounts. A merchant account
will allow you to process, Visa, MasterCard, American Express and
Discover Charges.
The most important thing to
remember when searching for a credit card merchant account is to
read the fine print. You will find all kinds of offers that appear
to be a great deal: Low Fees, Free credit card imprinters,
Free charge slips and host of other
bargains.
But, like most things, if it
sounds too good to be true, then it most likely is...Often, these
'bargain deals" are loaded down with hidden fees that dramatically
raise your cost of processing credit card charges. Typically fees
include a monthly statement fee; for the low price of $10 to $20 a
month, they will mail you your bill...Yeah, they charge you to mail
you your monthly credit card processing charge bill so you can pay
them...what a racket!
Merchant account sign up and
closing fees should be avoided. Personally, I believe you should
never pay fees to sign up or close your credit card merchant
account. The are many companies that do not charge these fees, so
if these fees are in the agreement I suggest moving on to another
company.
After you find someone to
process your charges and sign up for the service, you're ready to
process the credit card charge with your merchant account.
For this part, you'll need to
follow the rules of your account provided as to what info needs to
be entered. Typically, they'll want the credit card number, the
credit card expiration date, the name on the card and the CVV2
number. Additional information may be the persons address and phone
number; but check with your credit processor to see if this info is
necessary.
After successfully charging the credit card, your account provider will deposit the money into your account for your withdrawal. Some offer credit or debit cards that allow you spend the money through the cards. Or you can link a bank account to your merchant account and transfer the money directly to your bank.
